Proximity Join and enable Casting

Users now have the ability to start a meeting from their Phone or Desktop and Join it from Neat devices set up as Teams Rooms on Android. Additionally, they can cast content from their personal devices to a Teams Room.

Prerequisites

Before utilizing this feature, ensure that the following prerequisites are met:

  • Access to Teams Admin Settings: Access to the Teams admin settings is required to enable the necessary configurations. The default password is the last 6 digits of the device Serial number. (e.g. SN: NA100001234, password is 001234)

Settings required:

  1. Enable Bluetooth at the Device Level: For Proximity or casting Bluetooth must be enabled. By default, Bluetooth is enabled on Neat devices during a new installation or after a factory reset.

    To activate Bluetooth on Neat devices, navigate to Neat-level System settings by clicking on More (…) > Settings > Device Settings > Admin Settings > System > Bluetooth

  2. Enable Bluetooth Beaconing at the Teams App Level: In addition, Bluetooth beaconing will need to be enabled at the Teams App level.

    To activate Bluetooth Beaconing at the Teams app level, navigate to Neat-level System settings by clicking on More (…) > Settings > Device Settings > Admin Settings > Teams > Teams Admin settings > Meetings > Allow Bluetooth Beaconing

  3. Enable Automatically accept of proximity-based meeting invitations: For best results

    To activate Bluetooth Beaconing at the Teams app level, navigate to Neat-level System settings by clicking on More (…) > Settings > Device Settings > Admin Settings > Teams > Teams Admin settings > Meetings > Automatically accept of proximity-based meeting invitations

Meeting Start and Join Process

  1. Initiating a Meeting: Users can commence a meeting from their phone or desktop.
  2. Device Discovery: The phone or laptop will discover the Teams Room via Bluetooth.
  3. Meeting Join: The user’s device will seamlessly join the meeting on the Neat Teams Room.

Important Microsoft Teams information (see articles above for more information):

  • Ensure that your account is signed into an account within the same tenant as the Teams device you intend to cast to. If the accounts belong to different tenants, these tenants must be federated.
  • Note that the functionality of “Automatically accept proximity-based meeting invitations” will only be active when a wireless icon is present next to the room name.
