Admin Password for Neat System Settings

Overview
From NeatOS 26.1, two new security behaviours are in place for the admin sign-in screen: a forced password change for any device still using its factory default password, and a progressive lockout after repeated failed sign-in attempts. These changes affect all devices across the Neat product portfolio and are required to meet EU and UK product security regulations.
The behaviour of these features depends on the conferencing platform running on the device and whether it is enrolled in Neat Pulse. This article covers all possible scenarios and their intended behaviour.

1. Prerequisite
- The Neat Device will need to be minimum Neat OS version 26.1.X
Important: Once a Neat device is updated to NeatOS 26.1, any device still using the factory default password will be prompted to change it the first time an admin enters Neat System Settings after the upgrade. The factory default password is the last 6 digits of the device serial number. For example, if your serial number is NA00000XXXXXX, your default password is XXXXXX. 2. Setting Admin Password locally on Devices
Applies to Microsoft Teams, Google Meet, BYOD-only and AppHub Mode.
2.1 Accessing Neat System Settings
How you access Neat System Settings depends on the conferencing platform running on your device.
Microsoft Teams
- Press More (…) on your Neat Pad or Neat Board.
- Navigate to Settings and scroll down to Device Settings.
- You will now have entered Neat System Settings.

Zoom
- Locate and press Settings (gearwheel) at the left corner of your Neat Pad or right corner of your Neat Board.
- Navigate to General then select System Settings.
- Enter your Zoom Room passcode when prompted.
- You will now have entered Neat System Settings.
Important: Zoom devices do not have a Neat-level admin password by default, as access to Neat System Settings is controlled by the Zoom Room passcode. A Neat-level admin password on Zoom devices is only introduced if Lock Settings is enabled via Neat Pulse. For more information, see Zoom and Neat System Settings.
Google Meet
- Swipe the left hand side Menu and Select settings
- You will now have entered Neat System Settings.
BYOD-Only Mode
- Swipe the left hand side Menu and Select settings
- You will now have entered Neat System Settings.
2.2 Changing the Password
Once inside Neat System Settings, navigate to Admin Sign In at the bottom left of the screen. On first sign-in after upgrading to NeatOS 26.1, any device still using the default password will immediately prompt you to set a new one. You will not be able to proceed until the change is completed.
New passwords must be at least 8 characters long. Once changed, the password cannot be set back to the original 6-digit default.
Note: If you forget your password and the device is not enrolled in Neat Pulse, there is no ‘on-device’ recovery option. Enrolling in Neat Pulse is strongly recommended so the password can be managed remotely.
3. Managing the Admin Password via Neat Pulse
Applies to all Neat devices enrolled into Neat Pulse independant of the platform/app running.
The admin password can be set or updated remotely via Neat Pulse, either for an individual
room or across multiple rooms/devices using a Profile. This is the recommended approach for
managed fleets, as it prevents the forced password change prompt from appearing on devices
after upgrading to NeatOS 26.1.
3.1 Setting the Password via a Room
- Sign in to pulse.neat.no and select Devices from the left-hand menu.
- Locate and open the room you wish to update.
- Click on the device image to open the device settings menu.
- Navigate to System and locate the Lock settings on the device setting.
- Enter and confirm the new password and save your changes.
The new password will be pushed to the device automatically in a few seconds as long as the devices are online and connected to Pulse.
3.2 Setting the Password via a Profile
Using a Profile is recommended when applying a consistent admin password across multiple devices or rooms.
- Sign in to pulse.neat.no and select Profiles from the left-hand menu.
- Click Add Profile to create a new profile, or select an existing profile to edit it.
- Navigate to System and locate the Lock settings on the device setting.
- Enter and confirm the password, then click Save.
- To apply the profile, go to Devices, open the relevant room, and select Assign Profile.
Note: Once a profile is assigned to a device, the admin password setting will be locked at the device level in Pulse and shown as controlled by the profile. If a Lock Password is configured via Pulse, it overrides all local password settings and also introduces a Neat-level admin password on Zoom devices, in addition to the standard Zoom Room passcode.
4. Brute Force Protection
The admin sign-in screen now implements a progressive time-based lockout. The counter resets when the correct password is entered.

4.1 Password Recovery
Important: If the password is forgotten, there are only two options available,:
1. If the device is enrolled in Neat Pulse, the password can be changed remotely as described in Section 3, Figure 3.
2. If the device is not enrolled in Neat Pulse, a factory reset will be required to regain access to Neat System Settings.
