Neat Open: Using AI Meeting Notes (Beta)

Overview
AI Notes is a Neat Open feature that turns a session into a structured summary of the key points, decisions, and next steps. It works during local (in-room) sessions, BYOD meetings, and Neat Open Apps sessions, and you can review, expand, query, or share the summary afterwards.
This article explains how to enable AI Notes, how to start and use it, and its current limitations while in Beta. For an overview of Neat Open as a whole, see Neat Open: Overview.
Important Note: AI Notes is disabled by default in Neat Pulse. An administrator must enable it, tenant-wide or per device, before it can be used (see Enabling AI Notes in Neat Pulse).
Beta: The Neat Beta label indicates early-access features intended for testing and feedback, as functionality may be limited or subject to change. Documentation for beta features may be limited, and support is provided on a commercially reasonable effort basis.

Prerequisites
The following conditions must be met to successfully use AI Notes:
- A supported Neat device configured for Neat Open and running NeatOS 26.5 or later. AI Notes is supported on all current Neat devices that support Neat Open; for the experiences supported per device, see Neat Open: Overview.
- The device is enrolled in Neat Pulse.
- AI Notes enabled for the device in Neat Pulse and/or during out-of-box (OOB) setup. AI Notes is off by default (see Instructions, Step 1).
- A laptop or mobile phone with a web browser to pair with the device and control the session.
Privacy and participant notification
AI Notes is turned off by default. When AI Notes is enabled, Neat devices record meeting audio, including the audio of any remote participants, and process the recordings to generate transcripts and meeting summaries. Neat uses third-party service providers to perform the transcription and summarization. Transcripts and summaries are stored in Neat Pulse.
Your organization is responsible for notifying meeting participants and obtaining any consent required by law before a meeting is recorded.
By enabling AI Notes, you agree on behalf of your organization to Neat’s Data Protection Addendum and authorize Neat to use the third-party service providers listed therein, effective immediately.
Instructions
1. Enabling AI Notes in Neat Pulse
AI Notes is disabled by default in Neat Pulse. To use it, an administrator must enable it for either all devices or individual devices.
To enable it at the tenant level, go to pulse.neat.no > Neat Open > AI Notes (Beta) and turn on the toggle (Figure 1).
When toggled on, a prompt lets you choose how to apply it:
1.1 Automatically enable on all Neat Open devices:
A one-time action, which can be reverted, that enables AI Notes on every device enrolled in Neat Open.
1.2 Manually enable from individual device settings:
This allows you to set it individually for each room/device. Once enabled for the Pulse Tenant, go to Devices > select your front-of-room device > Device settings > Experiences > AI Notes (Beta).
Note: AI Notes can also be individually enabled during out-of-box (OOB) setup per device.
2. Pair a controller to the Neat device
In Neat Open mode, the front-of-room device displays a pairing code and a QR code on screen. Pair using either method below.
2.1 Using the pairing code
- On a laptop or mobile browser, go to go.neat.no.
- Enter a name and the pairing code shown on the Neat device display.
2.2 Using the QR code:
- Scan the QR code at the bottom of the Neat device screen with your mobile phone.
- Enter a name when prompted.
Note: The pairing code refreshes every few minutes. If the code has changed, use the one currently shown on the device display.
3. Start and control AI Notes
Once the controller (laptop or mobile) is paired, AI Notes begins automatically. A blue icon appears in the top right-hand corner of the Neat device screen to indicate that notes are being taken, and the browser shows that a session is being captured (Figure 2). To pause and resume notes, use the AI Notes icon (the waveform symbol) in the middle of the control bar.
4. End the session and save your notes
To end the session, select the red cross in the control bar. A shareable meeting summary follows, where you can review the structured summary and expand any section, ask follow-up questions about the session, and share the notes using a share link.
Warning: Save your notes before the session ends. There is currently no signed-in note history, so the share link must be saved or shared during the session, or the notes from that session are lost. Copy or share the link before you finish.
Final Notes
AI Notes captures a structured summary you can review, expand, query, and share, across local, BYOD, and Neat Open Apps sessions. Before relying on it, confirm it is enabled for your device in Neat Pulse, and save or share each summary link during the session, as notes are not stored afterwards.
AI Notes is a Beta feature with the following limitations at this release:
- Summaries, not transcripts: AI Notes provides structured summaries and insights, not a full word-for-word transcript.
- Shared content is not incorporated: AI Notes generates its summary from the spoken discussion. It does not capture or analyse content shared on screen, such as slides, documents, or wirelessly shared laptop content, so anything shown but not discussed will not appear in the notes.
- No note history: notes are not stored to a signed-in account. Save or share the link during the session to keep them.
- Not available in dedicated modes: AI Notes is not available in Zoom, Microsoft Teams, or Google Meet dedicated modes, which are controlled through their own interface.
- Language: Only English is currently available. However, you can use the Ask section to translate an AI summary into a language of your choice.
- Data hosting: AI Notes data is hosted in Europe, with no multi-jurisdiction data residency support in this release. If you have data-residency requirements, contact your Neat representative.
